Exports to Sage 50

Collabox allows you to export to Sage 50 to facilitate your accounting with an external software. Contact us to take advantage of this option.

Exporting invoices

To access the Export to Sage 50 page, first go to the “Accounting” main menu.

Then, go to the left menu in the “Export” section and select the “Export to Sage 50” feature.

Then check all the invoices to be exported.

When you press “Export invoices”, it creates an .IMP file.

Save the file in an easy-to-remember location.

Importing into Sage 50

First, open the “File” tab and scroll down to the “Import/Export” option. Then select “Import Transactions…”.

Choose the second option presented since you want to import sales invoices.

The software recommends to make a backup of the data before importing, free to you.

Then browse your computer to find the .IMP file you saved earlier.

You will then be asked the following questions for each invoice to be imported.

If the client does not exist in Sage 50, you are asked to create it or associate it with an existing client. If a client of the same name exists, you will not see this step, because the client will be assigned to the one of the same name automatically.

Next, you will need to associate each invoice item with the corresponding items/accounts in Sage 50.

If you use the same product numbers in Collabox as your items in Sage 50, you can check the following box in your Sage 50 clients to skip this step:

Your invoice items will be associated automatically, as long as they exist in Sage 50.

There, the bill is imported!

Exporting the customer list

Collabox has taken care of everything by allowing the export of the customer list to a .csv file that can then be transformed into an Excel or PDF file.

How to export the customer list

First, select the “Configuration” menu at the top of your screen.

Then, go to the left menu and click on the “Export” feature.

A page is displayed and an action is required on your part. Choose the “Export to CSV text file” option. Then click on the “Export” button.

Save the file in a place that is easy for you.

Open a CSV file

To open your CSV file in the easiest way, use the Excel software of the Office suite. For Mac users, open the “File” tab, then select the “import” option. Choose your file and open it.

PC users must open an Excel document and then go to the “Data” tab. Then you have to choose the option “From a text file/CSV”. Choose your file and open it.

That’s it, you have successfully exported your client list! At any time you can save it in PDF format from your Excel file.

Export your Collabox agenda

Our calendar function is very useful for managing your appointments. On the other hand, we understand that you may want to gather all your appointments in one place. This is why we allow the export of the Collabox calendar in other calendar software such as that of Google or Apple.

To get there, you must first access your calendar. To do this, simply click on the “Calendar” icon located in the menu bar at the top of the page.Screen Shot 2016-03-16 at 09.31.28

Automatically, Collabox displays the current week containing all your appointments. To transfer to another calendar software, click on the “Export calendar in vCal format” link located at the bottom right of the page. Collabox will download a version of your calendar in a format compatible with most calendar management software.

Once the file has been downloaded, all you have to do is open it and add it to your other calendars. Usually, the software you use (that of Apple, Google or Outlook) automatically recognizes the downloaded file and allows its import.

Import your contacts from a CSV

Collabox allows you to import your contacts, suppliers and customers from a document in CSV format. So you have everythingyour data in one place.

If you have not already done so, please refer to this article before proceeding.

How to prepare your CSV file

Before importing your data into Collabox, it is essential to prepare your document well. First, make sure you have these three essential columns for importing: “Name” and “First name” of the contact and “Customer name”. These three headings are mandatory for importing into the Collabox.

You can add as many columns as you want, such as address, email or phone number. Make sure you always have one piece of data per column.

What is a customer

A customer is the entity to whom you sell your product or service. The invoice is sent to the client at the end of your project.

What is a contact

The contact is a person whose details you want to keep for several reasons. It can be a customer, a prospect, a supplier or a professional subcontractor.

How to import your contacts

The first step is to click on the “Configuration” icon located in the navigation bar at the top of the page.

Once on the import page, you can see all the ones that have already been done. To start a new import, click on “Add import”.

To import your contacts, the file must be in CSV form. You can see the steps to convert your Excel to CSV here. If you already have your file, select it with the tool. Choose the options “Text” and “Do not import the first row” (only if the first row contains the column titles) in the import format.

Then choose where in the Collabox you want to import your data: “Customers”, “Suppliers” or “Contacts”. In our example, we chose to import our data into our contacts.

Configuration of headings

The second step of the import is to associate the columns in your file with their correct name (title) in the Collabox. So, choose what each column corresponds to.

Then, if necessary, add a non-existent heading. This The third step allows you to create custom fields if you have information in your file that has no equivalent in Collabox. If you don’t need it, continue to the next step.

The fourth step is important since it allows you to assign the files that will be created to your employees / salespeople. If several employees are involved, select them all.

Finally, verification ensures that the file is imported correctly. If an error has occured, it is always time to modify it by clicking on “Modify”. You can switch from one contact to another using the arrows. If everything is perfect, click on “Import contact list”. Of course, if you are importing a list of customers or suppliers instead, the button will change accordingly.

The last step is to confirm the import. It is important to verify that the number of contacts imported is equal to the number of entries in your CSV file. If not, check your file and / or the import process.

How to delete an import

At any time, you can cancel an import and start over. So you don’t have to be afraid of making a big mistake for your business!

If you’ve made a blunder in your import and you want to undo it, you can. When you are on the import page, you must check the import that you want to withdraw and click on “Cancel selected imports”. And There you go! The contacts are now deleted.

Importing vCard files

It is possible to import vCard files into Collabox. This is a file containing the personal information of a contact. This way, you can keep a list of your customers without having to retype all their information! Here is how to do it:

Visit the section first Configuration .

Go to the Clients function in the left menu.

At the top of the page is the link Import a customer .

Click on the vCard box, then start the import.
Note: If you don’t have this link, ask your account manager to add the import to your options.

Use the Browse button to specify the location of the vCard file import on your hard drive. Select the import format vCard , then where you want to import the contact ( Clients in this example) .
Click on Start import and your contact will be created.

Do the same for importing supplier files. Then find all your customers and suppliers in the appropriate list on Collabox.

All imports are reversible, so there is no need to worry about possible handling errors!

Export reports to Excel

Export reports in Excel format easily. Our programmers have created an Excel icon that automatically exports your data when you click it. It is always placed at the bottom of the forms to produce reports, near the button View report . They also added the CSV icon which is a format compatible with all types of spreadsheets and platforms.

For reports that do not have these icons, you can copy and paste the information into an Excel or Calc page (the LibreOffice and OpenOffice spreadsheet program). To do this, select the elements of the report with your mouse to highlight them. With the right mouse click, select the option To copy .

Then, right click in a Calc or Excel page and select the option Special bonding … Unformatted text, in the case of Calc, or Text in Excel.

Note: The HTML paste option also works, but it’s much heavier than unformatted text. This can sometimes slow down the display on your device.

Your data will be well aligned and the result readable. You will only need a little layout.
