Configure your Collabox to be ready to work

Here are the main steps to configure your Collabox according to the modules or functions to which you are subscribed.

Project-specific hourly rate for your services

You don’t charge the same hourly rate per service to all your clients? You can modify it especially for a project. It’s simple, just follow the steps. If you just want to set up a default rate, go to this page which provides all the explanations.

How to change the hourly rate for a service in a project

The first step is to obtain the project file. To do this, click on “Configuration” in the top menu bar.

Then, you access the list of projects by clicking on “Projects” in the left sidebar.


Finally, we click on the project we want to modify. In the following example, this is the ABC Construction Spring 2007 Campaign.

Once in the project file, you must click on the “Rate” tab.

You will then be automatically redirected to the rates page specific to this project. On this page, you can modify the rates for your employees as well as for the services.

The last step is pretty straightforward, just enter the amount you want to charge your client on that particular project. Don’t forget to save the change by clicking on “Save” at the bottom of the page. DIn the example below, we change the hourly rate for the “Brainstorming” service from $ 40 to $ 75 per hour.

Once the hourly rate is adjusted, it will be accounted for correctly during your invoicing, but also in the display of reports. To do this, you must first click on “Reports” in the top menu bar.

Then you have to go and find the reports associated with the projects by clicking on “Projects” in the left sidebar.

Finally, you must select the options “Selling price” and “Calculate the amounts according to the service rate”. Collabox will then display the report summarizing your projects according to the new service rates that you have established.

New colors for Collabox

In the last few weeks, we have been working in secret to prepare a nice surprise for you. Several users asked us for a function to customize the colors of the Collabox. We have listened to you and it is now possible to change the colors of the Collabox. We even have new, redesigned and colorful icons to offer you. In total, that’s 19 icons redesigned in addition to five different colors for the new minimalist icons.

You must first click on “My preferences” in the side navigation bar.

A new tab has been added specially for the modification of colors, it is “Colors”.

This news allows you to control all the options available to let go of your fool and get creative. You have the new icons, but also the options to choose the colors. We’ve also added a section at the bottom of the page that allows you to save your changes as a new theme. You just have to name it and click on “Keep as theme”. On this page you can also change the logos displayed. The “Logo” option modifies the logo located in the upper left corner of Collabox. The “PDF Logo” option modifies the logo that appears on your invoices and service offers.

Configure your Collabox | Send documents via Collabox

Send documents via Collabox with the messaging service! Use Collabox to send several types of information to your colleagues, suppliers and customers.

Save a lot of time while keeping track of these shipments.

If you are already working on an invoice, a service offer, etc., did you know that you can send them directly from your Collabox?

Here is a list of types of information:

  • invoices
  • statements of accounts
  • service offers (submissions) with files as attachments
  • Appointment
  • messages mounted in the Collabox newsletter editor : The Followmail(CRM module)

Important configuration to do before sending documents via Collabox to avoid being considered as “undesirable” (spam):

To prevent these e-mails from ending up in the “Spam” folder, choose one of these two actions.

1- Put your outgoing server information in your Preferences-Collabox. This information is the same that you use in your regular email tool: (Outlook, Thunderbird, Gmail, etc.)

Thus, Collabox will use your email server (collabox.entreprise) to send emails and documents, which will help a lot to reduce spam.

2- The other way is to modify your domain name information, the “DNS records” to add an SPF entry.

Your email host should be able to do this for you.

Special topics on Collabox

What do Valentine’s Day, Easter, Halloween and your birthday have in common? These are all Holidays highlighted by Collabox! Indeed, by subscribing to event themes, you will be able to see Collabox change over the seasons. All the functions will remain the same, only a few aesthetic details will change over the seasons. It is therefore only the visual of your page that changes.

For example, we decided to be festive for Christmas and to share with our users a theme only for the holiday season.

To ensure that you see the event themes, it is important to check this option in your settings.

Parameters to modify to subscribe to event themes

The first step is to access the Collabox settings. To do this, click on “My preferences” at the bottom of the left column.

Once in the preferences settings, go to the display settings by clicking on the “Display” tab.

Finally, all you have to do is check the small box to the right of “Subscribed to event themes”.

Everything is now set to receive little surprises on your Collabox throughout the year!

And for those who wish deactivate event themes, just follow the next few steps.

To deactivate themes

The first step is to access the Collabox settings. To do this, click on “My preferences” at the bottom of the left column.

Finally, all you have to do is uncheck the small box to the right of “Subscribed to event themes”.

Apply a theme to all users

Do you want all your colleagues to use the same visual theme on their Collabox? It is possible quickly. There is a button that allows you to apply a chosen Collabox theme to all users of the same organization.

This makes it possible to unify the Collabox user interface for people from the same company.

Result status

The income statement reflects the company’s finances in real time. It is an accounting tool linked to several elements, including budget items and the projected budget.

Create a budget forecast

The budget forecast is a very important tool for a company that wants to stay in control of its business. To produce a budget forecast, first go to the main menu “Accounting”.

Then select the “Results Report” feature from the left-hand menu.

Now add a budget and indicate the base year.

Be sure to check that your organization preferences match the year of the budget. In the left-hand menu “Organization”, select the “Accounting” tab.

Then, scroll down to that function and check it if necessary. For example, for the fiscal year beginning April 1, 2022 and ending March 31, 2023, the budget year will be 2022 if the box is not checked, but 2023 if you choose to check it.

After creating a new budget, you will see an entry page where all your budget items will be presented according to the “Income” tab and the “Expenses” tab. It’s your turn to play and fill in the fields according to your needs.

View the results report

To access your real time data, go back to the main menu “Configuration”, then to the left menu “Results report”. Choose the right reference year and open the link.

All expenses entered in the Collabox, as well as all invoices and tax remittances will appear as they occur. You can choose to display or not the “planned budget”, as well as the “remaining budget”.

You can also hide the summary at the top of the page or download an Excel file to send to a third party, for example your accountant.

Configuring your Collabox: Custom fields and drop-down menus

Already well known to Collabox users, custom fields are now even more specific thanks to the addition of drop-down menus.

Adding custom fields and drop-down menus

First go to the main menu “Configuration”.

In the left menu, choose the “Custom fields” function.

Add a new field or modify an existing custom field.

Fill in the boxes and select the field you want. There are several options available to you, so simple boxes. The choice we are interested in here is the “Multiple choice (drop down) field”. Choose where you want it to be presented in the form, then select the type of drop-down menu you want. The options are a list: of products, employees, resources or contacts. Combine your drop-down menu with a simple field or image to help you find your way around!

Indicate the values that will be part of your drop-down menu.

Don’t forget to choose the form where your custom fields will appear!

Timesheet: Default service

You’ve been tracking your hours worked with the Collabox timesheet for a while now and you realize that you often do the same type of activity (service to use Collabox language). Collabox allows you to specify a “default service” for each of your employees. In this way, the time entry is faster.

How to create a service

Before creating a service, you must first define it for your company. They can correspond to specific types of activities or even functions, for example graphic design, coordinator or bookkeeping. Making the difference between a project and a service is essential.

To configure services, click on the “Configuration” menu, then select “Services” from the list on the left.

Add a service by clicking on the option of the same name at the top left of the screen.

Then, fill in the customizable fields for your service.

Don’t forget to assign the employees targeted by your department! Save your data, then repeat until all your services are created. It is possible, at any time, to create new services and modify assignments.

To specify a default department, first go to the “Configuration” menu, then select “Employee” from the list at . 

Then click on the name of the employee whose department you want to set as default. Go to the Services tab and select the desired default service. Don’t forget to click on Record

And one click less to complete your timesheet!
