At the end of your year, you will have to produce your trial balance report for your accountant. This report groups all the general ledger entries.

Trial Balance Report

In the main menu at the top, first click on “Report”.

Then, in the left-hand menu, scroll down the page until you find the “Trial Balance” function.

Among the options available to you, indicate the correct time interval, then click on “Display”. If necessary, check the boxes to customize the display of the balances.

The trial balance report is now created. To ensure that your organization has its accounting entries in order, the balance in the “Debit” column should be the same as that in the “Credit” column. If this is not the case, as in the following example, you will need to verify that all your invoices and disbursements are balanced. The blog post“Verification” explains how to proceed.

Approval of expenses

Here is the procedure for approving expenses in the Accounting module report. First, access to expense approval is not given to everyone automatically. Thus, the accesses of the employees who will be able to have this access must be configured.

First, you have to give the rights to an employee to authorize expenses by going to the “Configuration” and “Employees” menus.

You must then select the employee who will have this right and go to the “Advanced configuration” tab where the “Accounting module” category is located. In this module is the checkbox “May approve expenses” which must be checked to see the column “Approved” in the expense report.

Second, we go to the “Reports” category to find the “Expense Report”. We must first select an employee since we can create a disbursement or authorize an expense that one employee at a time.

Thirdly, we need to approve the expenditures so that we can turn them into disbursements. You can finish by saving with the “Save” button at the bottom of the page.

Result status

The income statement reflects the company’s finances in real time. It is an accounting tool linked to several elements, including budget items and the projected budget.

Create a budget forecast

The budget forecast is a very important tool for a company that wants to stay in control of its business. To produce a budget forecast, first go to the main menu “Accounting”.

Then select the “Results Report” feature from the left-hand menu.

Now add a budget and indicate the base year.

Be sure to check that your organization preferences match the year of the budget. In the left-hand menu “Organization”, select the “Accounting” tab.

Then, scroll down to that function and check it if necessary. For example, for the fiscal year beginning April 1, 2022 and ending March 31, 2023, the budget year will be 2022 if the box is not checked, but 2023 if you choose to check it.

After creating a new budget, you will see an entry page where all your budget items will be presented according to the “Income” tab and the “Expenses” tab. It’s your turn to play and fill in the fields according to your needs.

View the results report

To access your real time data, go back to the main menu “Configuration”, then to the left menu “Results report”. Choose the right reference year and open the link.

All expenses entered in the Collabox, as well as all invoices and tax remittances will appear as they occur. You can choose to display or not the “planned budget”, as well as the “remaining budget”.


You can also hide the summary at the top of the page or download an Excel file to send to a third party, for example your accountant.
