Collabox reports are numerous, from the most general to the most specific.

These are business management tools that provide you with information on most aspects of your business life:

financial reports
reports related to human resources management
report by projects
production reports
and others

Report of work in progress

The work in progress report allows you to quickly view all of your billable projects by transaction (timesheets) with their status. Not only will you see the tracking of amounts in real time, but you will be able to see the percentage of hours completed.

This will allow you to manage your business well. It requires the use of several ERP (enterprise resource planning) functions of the Collabox.

Preliminary checks

To get the “real” numbers for your company, first make sure you have made the following entries for each project in Collabox:

  1. Service offerings
  2. Invoices
  3. Disbursed
  4. Time sheets

Also, make sure that the updates on the projects have been made and that the “billable by transaction” box is checked in the project form.

Produce the work in progress report

First, select the “Reports” menu.

Then click on the “Work in Progress Report” tab in the left grey menu.

There are several filter options available to you for creating the report. Check the desired items and select options from the drop-down menus, if applicable. Transactions refer to the timesheet entries of your employees.

Field description

The table produced in the report is divided by column. Each column is associated with a particular field. The first fields refer to the context of the project. First, see the client’s name, project number and name.

The second portion of the table refers to the financial aspect of the project. It shows the expected amount of money from the service offering. The amount already invoiced to the customer is shown, as well as the amount still to be invoiced.

Progress refers to the percentage of completion handwritten by the employee in the project sheet. In turn, the calculated progress refers to the percentage of the planned money (fees, equipment, product, subcontracting, etc.) that is actually spent based on the information in the service offering.

Then comes the actual profitability of the project. The “Work in Progress” column refers to the amount of money worked but not yet invoiced. Be sure to update the percentage of progress on your projects to get a real time number. Finally, a quick glance at the “hours worked” field allows you to see the progress in hours of the project and to anticipate cost overruns before they occur!

Checkweigher

At the end of your year, you will have to produce your trial balance report for your accountant. This report groups all the general ledger entries.

Trial Balance Report

In the main menu at the top, first click on “Report”.

Then, in the left-hand menu, scroll down the page until you find the “Trial Balance” function.

Among the options available to you, indicate the correct time interval, then click on “Display”. If necessary, check the boxes to customize the display of the balances.

The trial balance report is now created. To ensure that your organization has its accounting entries in order, the balance in the “Debit” column should be the same as that in the “Credit” column. If this is not the case, as in the following example, you will need to verify that all your invoices and disbursements are balanced. The blog post“Verification” explains how to proceed.

Report by tasks

Do you use the task functions in your Collabox? If so, you will benefit from using the task report as well. The latter quickly shows you the number of hours worked per task per employee. See how to use this feature properly.

After creating tasks, along with an approximate or actual number of hours for their completion, your employees choose them when entering their timesheets. They indicate their percentage of completion and Collabox takes care of the rest!

Preliminary verification

First of all, when creating a task, don’t forget to enter the expected time for the task, if necessary. The report can thus indicate time overruns. This sometimes avoids unpleasant surprises.

Then, make sure to tell your employees to select the task they are working on when they enter their timesheet. They must also indicate the percentage of completion of the task.

Create a report by tasks

To create a report by tasks, first go to the main menu “Reports”.

Then select “Tasks” from the left-hand menu.

There are several options for customizing the report. Choose the desired interval and make client, project, department or task selections. You can leave the fields as they are if you want a complete report of all the tasks of your organization.

It is also possible to choose a degree of progress of the tasks, including those not completed only. The report by tasks allows you to check who worked on the task and for how long. See which tasks took longer than expected and adjust your requirements as needed.

Table of disbursements by suppliers

Do you sometimes forget about supplier disbursements from one month to the next? Make sure you have captured all of your company’s recurring expenses at a glance with the Disbursements by Vendor chart.

Recurring disbursements

Recurring disbursements, by definition, recur at a given interval and are usually the same amount from one time to the next. Collabox has a feature to automate these types of disbursements to help you save time. Go to a disbursement form and enter your information. Then, scroll to the bottom of the page and click on the “Create a recurring disbursement” button.

However, not all recurring disbursements are necessarily the same amount. That’s why the Disbursements by Supplier table is so useful. It allows you to visually observe expenses by supplier and quickly identify missing disbursements for a given month.

Open the list of disbursements and click on the link “Supplier payment table”.

Choose an interval to check, then click “View”. You will see all the suppliers entered in the disbursements during the selected period. You will quickly see if any disbursements have been missed by suppliers. The following example shows disbursements that appear to be missing. All you have to do is check that nothing has been forgotten.

This follow-up is fast and very efficient. It can easily become part of your end-of-month routine.

Project monitoring report

The project tracking report provides real-time information to manage your business, as well as performance indicators. It requires the use of several Collabox ERP functions, such as service offerings, timesheets and billing.

Preliminary checks

To get the “real” numbers for your company, first make sure you have made the following entries for each project in Collabox:

  1. Service offerings
  2. Invoices
  3. Disbursed

Then, check that the following fields are filled in for each project.

Date of the deliverable, in the project sheet.

Type of project according to your company’s personal description, also in the project sheet.

Finally, update the “status” of your projects. Are they in submission or in production? You are now ready to produce your project tracking report.

Produce the project monitoring report

First select the “Reports” menu.

Then, click on the “Project Tracking Report” tab in the left grey menu.

Choose the display options that apply to you. Filter your search by project manager, by project or by project type, according to your needs. Specify a delivery date or transaction dates, if required. Leave the fields blank to get all the projects in one place.

Now, view your report and analyze your results! You can customize the interface by removing certain columns or changing your display choices. The report shows you the status, the signed amount from the service offer, the amount already invoiced to the client, the costs paid for the project, the hours worked, etc.

Description of the fields presented

See that the table produced in the project tracking report is divided by column. Each of them is associated with a particular field. The first fields refer to the context of the project. First, see the client’s name, project number, and name. Then, the name of the project manager is indicated, followed by the project delivery date. Finally, the type of project, according to your company’s specifications, and its completion status are indicated.

The second portion of the table refers to the financial aspect of the project. It shows the signed amount from the service offer, the amount planned for the project. This amount differs from the signed amount if the project has evolved during the course of its implementation. Finally, look at the amount already billed to the customer.

Then, note the costs directly associated with the project based on the disbursements you have added. The hours planned, i.e. the bank of hours indicated in the project sheet, and worked (timesheets) are then displayed, which leads to the percentage of planned and actual profits in relation to the project.

The last portion of the report displays items related to project progress. Progress refers to the percentage of completion handwritten by the employee in the project sheet. In turn, the calculated progress refers to the percentage of the planned money (fees, equipment, product, subcontracting, etc.) that is actually spent based on the information in the service offering. The progress notes are then displayed, followed by the last update date of the project.

Vacation management

Here you will find a summary of the different options available for managing your company’s vacation time.

The first option is to determine how you want to manage your vacation. In other words, when your employees go on vacation, do you want them to enter the hours into a project or as a service? Do you see this position as a project or a service? There is no wrong answer to this choice, these are two valid classification modes.

You must first access the organization preferences by clicking on “Organization” in the left sidebar.

Once in the organization’s file, under the “Info” tab you will have a small drop-down menu offering you the possibility to choose between project or service. Select the one you want and click “Save”.vacation

Well, that’s it! You can change your choice at any time by returning to this menu. However, don’t forget to create “Holiday” projects or services in the appropriate configuration menu, otherwise your efforts will be for nothing.

In a few months, you will like to know the vacation balance of your employees. To achieve this, we have put together a nice report that allows you to consult all this information quickly. To access it, you must first click on “Reports” in the top navigation menu.

Then, located in the side menu bar, click on “Vacation – Sickness”.

You now have access to a few options for viewing the vacation report. Choose what you want and click on “View report”.

Configure vacation percentages

To be able to calculate the vacation, Collabox needs you to tell it the amount of vacation to which the employee is entitled. In Quebec, the Commission des normes, de l’énergie, de la santé et de la sécurité du travail has established very specific rules regarding vacations based on the number of years worked by the employee. You can refer to their guide by clicking here. Once you have the right percentage, navigate to your employee’s file by clicking on “Configuration” in the top navigation bar.

Then click on “Employees” in the left bar.

Choose the employee to edit. Once in its file, click on the “Rate” tab.

Finally, add the percentage and the effective date. If the employee already had accumulated vacation before the chosen date, you can also add them.

Report by employee

Collabox’s employee report, a management tool that is essential to your company’s performance.

Do you feel like you’ve been focusing on the same project for the past three months? Wondering how Marie fills her working hours? Do you think the distribution of work is inequitable between departments?

Take stock with Collabox’s employee report! It is designed to let you choose the information that will be put forward.

Producing a report

First, click on the Reports icon, located in the horizontal menu at the top of the screen. You will land directly on the right page. The report is produced in 3 stages:

  1. Determine the time period that will be covered by the report using the drop-down menus or the calendar.
  2. Choose whether the report will cover all employees or a specific employee by selecting the desired option from the drop-down menu.
  3. Select the type of report you want to produce (report by employee, total project hours or sum of services), then check the boxes for the parameters you need.

Don’t forget to click on the button View report when you’re done!

Overview of report types

The report by employee

This type of report basically allows you to see the number of hours worked by each employee over the given period. You may or may not include details (depending on the parameter options checked).

The report of the total hours of the projects

This report shows the projects each employee worked on, the amount of time they spent on them individually and the proportion (in%) of their time that the projects occupied.

The sum of services ratio

As the name suggests, this report is structured around the departments of your business. It lists the departments each employee worked for, the number of hours spent on each, and the billable amounts worked per department.

Note: The above examples were created from the basic settings and the selection of all employees. Depending on the options you choose to create your report, it may contain more or less items.

Report by project

Collabox’s project-based reporting is essential for controlling your operations. It is used to get an overview, or detailed, of the time spent by your teams for a given period.

Project management

It is natural that the report by project is the document most produced and used in project management software. This is also the case for Collabox. It gives you a good summary of everything you want to know about your projects:

  • invoices
  • disbursed
  • wages
  • hours
  • resources
  • Purchase Orders
  • remaining budget
  • etc

Name them! No need to dig through your employees’ timesheets to find information on a project. Everything is in this report which is very quick to produce. It even exports to Excel!

To access the report page, click on the icon Reports , at the top of your Collabox page.

Then select Projects in the left menu of Collabox.

The report by project is created in 4 steps:

  1. Determine the period that will be covered by the report using the drop-down menus.
  2. Choose the project, in the drop-down menu, on which you want to obtain information.
  3. Choose, if desired, a specific employee or department to report on.
  4. Determine how the information will be classified in the report (employees, department or chronological order) by selecting the option that interests you.

Note: The system remembers the last selected items in the form.

Once you have chosen these parameters, you can either view the report immediately without changing the other parameters, or adjust the parameters according to your needs. To display the report, click on the button View report located at the bottom of the page. If you want to export the report in Excel format, click directly on the Excel icon just above the button View report .

Sales projections report

The sales projections report is available in the Collabox CRM module. It is a basic CRM tool that is essential to the management of your company, just like customer follow-ups and appointment management.


The Collabox makes it possible to obtain this information thanks to several types of reports according to the chosen criteria.
When using the CRM module, you can generate sales projection reports. Get an overview with graphs on the closing rate , in number of proposals , in money in addition to obtaining statistics by customer type . This valuable data will optimize your sales actions. In addition, the list of proposals makes it possible to check and validate these results.


In your top menu, select the Reports icon

To obtain relevant data, you need to create your service offers in the Collabox (accounting module) and manage your opportunities through the functions of the CRM module.

In your left side menu, click on Sales Projections

Then you can choose the elements you want to display in your report.

A given period, by salesperson or all salespersons, by customers or all customers and by product, if you use the notion of products in your Collabox.
