The sub-projects

Some projects more complex than others are subdivided into sub-projects. It is possible to reproduce this tree structure in Collabox to better manage the production process. To do this, you must first create the “parent” or main project.

Create a parent project

Add a new project to the Collabox from the project list or via the Configuration menu, in the project section. The parent project corresponds to the main project and is the one that will be split later.

Add a sub-project

From the parent project, select the Tree tab. Click on Add a subproject .

Red arrows indicate where to select to add subprojects from the parent project's master record.

Fill in the relevant fields and save everything. Your sub-project will be created!

You can break down your “parent” project into as many sub-projects as you want.

Interesting to know: When you produce a report by project, if you select a “parent” project, you are also given the option of including the time of sub-projects. You will therefore have an overview of the family.

Invoice sub-projects

To invoice more than one project on the same invoice, they must be “sub-projects” in Collabox language. A small configuration is required when creating the invoice. Check the “Include sub-project timesheets” box and voila, you can bill multiple sub-projects at once.

Locking timesheets

Project managers can closely monitor the hours worked by their employees thanks to the locking of timesheets. When they find that their employees have spent enough time on a project and want to invoice a client for it, for example, they just have to lock their timesheet so they don’t have to. plus the ability to make changes within the times entered. If they want to process payroll, they can lock entire days so they cannot be changed.

Types of locking

Here are the types of locks you can perform:


This option allows you to block the modification of time entries. If you lock a timesheet this way, the employee will no longer be able to modify what they have already entered in their timesheet for the specified period. However, he can add new hours for the coming days.

Full days

With this option, you can prevent data from being entered over a specific period of time. For example, if you lock the days from April 4 to 7 for one of your employees, he will no longer be able to enter anything in his timesheet for these days.

How to use the timesheet lock

To use this function, click on the “Timesheet icon.

Select “Lock” from the left vertical menu.

Check the name of the employee or employees whose timesheets you want to lock. Choose the period covered, then the type of lock. Click on Lock .

Note: To unlock a timesheet, it’s the same way: check the employee (s) concerned, select the dates that interest you, the type of lock and click on Unlock .

When a full day is locked, a message appears on the employee’s timesheet to notify them.

Work on projects in submission

It is common to work on projects that are not yet signed or in production, whether it is for the creation of a service offering or a meeting with a client. Collabox understands this need and that’s why it is possible for you to work on projects with an “in submission” status.

Project status

Divide your projects by “states” to maximize your organization and search for projects in your Collabox.

First, create a project via the service offering or directly in the list of projects “Add a project”. If the project is linked to a service offering (OdS), its status will be assigned directly to the project. The following are examples of states:

To set up your reports,first visit the “Organization” section in the “Preferences” menu at the bottom left of the screen.

Then click on the “Projects” tab to display the list of project types.

Select them according to your preferences. Don’t forget to save!

Time sheet – projects in submission

By default, the Collabox only allows you to fill in timesheets on projects in production. The configuration of reports by project for your employees is therefore essential. It allows your team to capture time on bidding projects, for example, or any other type of project.
